As a Receptionist you will be the first point of contact for client phone calls and visits and will be responsible for delivering exceptional, care always there to clients, patients, and colleagues.

Responsibilities

Operation of the clinic:

  • Triage the impact of any emergency/see on the day appointments, contacting clients when required to arrange an alternative appointment.

  • Answer client phone calls and manage messages, following up as required.

  • Carry out reception duties, greeting clients when they arrive at the clinic and managing their appointments.

  • Keep the front of house, including waiting areas and reception, clean and tidy.

  • Process any repeat prescription order requests.

Diary Management:

  • Manage the clinic diary to ensure appointment availability is aligned to diary management best practice and the skillset available in the clinic.

  • Ensure appointment slots are available for clients to book online.

Medivet Healthcare Plan:

  • Be an advocate of the Medivet Healthcare Plan (MHP).

  • Complete sign-up documentation with clients when they take out MHP.

  • Manage any updates required for clients/patients.

Standards and Compliance:

  • Comply with all standards and agreed ways of working in the clinic.

Skills, knowledge and experience

  • Excellent customer facing and reception skills.

  • Ability to build relationships with clients - remaining calm under pressure and diplomatic when required.

  • Ability to work as part of a small team – building relationships with colleagues and being flexible to deliver exceptional care to clients and patients.

  • Ability to prioritise workload and a range of tasks. • Good numeracy skills. • Experience is using online appointment booking systems.

  • Administration skills & experience.

Desirable:

  • Previous veterinary receptionist experience.

  • Understands the role and importance of regulation and compliance.

This means that, from time to time, you may be required to carry out tasks outside your normal duties, where you have the skills, knowledge and experience required.
