The Visas and Membership Advisor will support Medivet by processing, coordinating, and managing visa applications, professional memberships, and relevant colleague coverage requirements.

Working within the People team, this role will provide accurate, timely, and colleague-focused support across visa administration, RCVS, RCVN and BVA memberships, and VDS coverage. The postholder will ensure applications, renewals, records, and queries are managed efficiently and in line with agreed processes and timelines.

This is a 12-month fixed-term role to cover maternity leave, reporting to the People Operations Partner and working closely with colleagues across People Operations, clinical teams, finance, and external professional bodies.

Key Responsibilities:

  • Process and coordinate visa applications, extensions, and related administration, ensuring accurate documentation and timely follow-up.

  • Maintain accurate visa records and trackers, monitoring expiry dates, key milestones, and renewal requirements.

  • Act as a point of contact for colleagues and managers on visa, membership, and coverage queries, providing clear and timely guidance.

  • Coordinate and manage professional memberships, including RCVS, RCVN and BVA applications, renewals, changes, and associated records.

  • Manage VDS coverage administration, ensuring appropriate records are maintained and updates are processed accurately.

  • Liaise with external bodies, providers, and internal stakeholders to progress applications, resolve queries, and obtain required information.

  • Ensure colleague records are kept accurate and up to date, handling confidential information appropriately and in line with internal processes.

  • Support regular reporting and tracking of visa, membership, and VDS activity, highlighting upcoming renewals, risks, or outstanding actions.

  • Work collaboratively with People Operations, finance, recruitment, and clinical stakeholders to ensure smooth administration and colleague support.

  • Identify opportunities to improve processes, documentation, and communication relating to visas, memberships, and coverage.

Skills and Experience:

  • Experience working in a People Operations, HR administration, compliance, or colleague services role.

  • Experience managing administrative processes involving applications, renewals, trackers, and confidential colleague information.

  • Strong attention to detail, with the ability to maintain accurate records and follow processes consistently.

  • Excellent organisational skills, with the ability to manage multiple deadlines, priorities, and follow-up actions.

  • Confident communication skills, with the ability to support colleagues and managers clearly and professionally.

  • Comfortable working with systems, spreadsheets, and trackers to monitor activity and produce accurate updates.

  • Able to handle sensitive and confidential information with discretion and professionalism.

Desirable:

  • Experience supporting visa, right to work, professional membership, or compliance-related processes.

  • Experience working with professional bodies or external providers.
